With OnBoard, mobile workers use a web browser or handheld IP device to book desired workspace accessing a wizard that guides them through the reservation process. They can maintain personal preferences to streamline the reservation process and even reserve pre-defined workspaces with literally "one-click." They can make one-time or recurring reservations and select their desired workspace from a floorplan, a calendar, or from a list of available spaces that meet their criteria. They can locate other people, rooms, or events and access the system in any of 11 local languages. Workers can also use OnBoard to reserve conference rooms, equipment and services. Upon arrival at the office, workers"check-in" using a touchscreen kiosk, a barcode scanner or from selected VoIP telephones. The check-in process triggers the automatic routing of their phone extension to their reserved workspace. The alternative is a “free-address” work environment where workers grab available space on a first-come, first-serve basis and go through a process to activate their telephone. They might not be able to find a space in the area they need to work and there might be contention for workspaces. This creates anxiety, fosters an “out of control” feeling, and decreases productivity. OnBoard’s reservation system eliminates all these negative factors. (Free-address, by definition, only works where there is an overabundance of available workspaces, which, of course, defeats the whole purpose of workplace management.)
